eBay Spreadsheet: Pricing China-Sourced Stock for eBay, Fees Included

Updated · by the Alibaba Spreadsheet editors

Short answer

Most people searching 'eBay spreadsheet' want a seller template, so here is one: a free CSV that takes your landed cost from China and subtracts eBay's fees to show real profit per item. eBay's official US rates are 13.6% of the total sale (including shipping) for most categories, plus a $0.40 per-order fee ($0.30 on orders of $10 or less); sneakers selling for $150 or more pay 8% and no per-order fee. A $45 item with $5 shipping and a $29 landed cost leaves about $8.80. Only resell goods you have the right to sell — unbranded or your own label.

These Weidian finds are for your own wardrobe — several carry brand names you can't resell. Use them to test sellers and shipping before you source unbranded stock. Tap a card for photos and sizes on repbuysheet.com. What you see here is a slice: repbuysheet.com behind it carries 10,000+ products, searchable by brand, size and category.

What eBay takes from each sale in 2026

eBay's official US fee page lists these rates for a standard (non-Store) seller. The fee is charged on the total amount of the sale, which includes the shipping the buyer pays — a detail that catches out many first-time resellers.

Verdict: Budget roughly 14–15% of what the buyer pays, shipping included, as eBay's cut on a typical clothing sale.

A worked example: is a $45 sale worth it?

Say you source an unbranded heavyweight hoodie through an agent. The item and agent fee come to $20, its share of the international parcel is $6, and duty adds $3 — a landed cost of $29. You sell it on eBay for $45 and charge $5 shipping, then pay $5 to post it.

One sale, line by line
LineAmount
Buyer pays (item + shipping)$50.00
eBay final value fee (13.6% × $50)−$6.80
eBay per-order fee−$0.40
Postage you pay−$5.00
Landed cost−$29.00
Profit$8.80 (17.6% of what the buyer paid)

Arithmetic checked with the formulas in our template. Your figures will differ; the structure is the point.

The lesson is where the money goes. eBay's fees and your postage together are almost as much as the goods' price in China. Most thin eBay margins come from underestimating shipping and duty on the way in, not the fee on the way out — which is why the template starts with landed cost.

What's in the free eBay resale template

The CSV template opens in Excel, Google Sheets or Numbers. Each row is one item, and the formulas are already in the example row:

  1. Sourcing columns — item, source link, agent, item cost, share of international shipping, duty. These add up to landed cost.
  2. Sale columns — eBay sale price, shipping charged, and a Y/N for sneakers at $150 or more.
  3. Fee columns — final value fee (13.6% or 8%) and the per-order fee ($0.30, $0.40 or none), calculated for you.
  4. Result columns — postage you paid, profit and margin, plus dates listed and sold.

If you source in bulk, pair it with our Alibaba supplier template, which tracks MOQs, samples and landed cost per unit before goods reach you.

What you can and can't resell on eBay

This matters more than any fee. eBay's Verified Rights Owner (VeRO) programme lets brand owners have listings removed that infringe their trademarks or copyrights, and repeated removals can restrict an account. Selling goods that carry another company's brand without authorisation isn't a grey area on eBay — it's the fastest way to lose a seller account.

  • Good to resell: unbranded basics, blanks, your own-label goods made on 1688 or Alibaba.com, and genuine secondhand items you own.
  • Don't resell: anything with a brand name or logo you're not authorised to use — including many items on finds spreadsheets.
  • Check before you list: eBay's category rules, your country's product-safety rules (children's items, electronics), and whether you need to register as a business seller.

Verdict: Treat finds spreadsheets as personal shopping lists. For eBay stock, source unbranded goods from 1688 or Alibaba.com and put your own label on them.

Where to source stock for eBay from China

For small resale runs, 1688 through an agent is usually the cheapest route: domestic factory prices, low-to-medium minimums, and QC photos before goods leave China. For custom or own-label goods in larger quantities, Alibaba.com with Trade Assurance gives you English contracts and a refund route. AliExpress suits one-off test purchases. Whichever you use, put duty in the landed cost: US parcels have paid duty since the $800 allowance ended in August 2025, and EU parcels under €150 pay €3 per item category since July 2026.

If you'd rather not handle parcels at all, we can ship orders directly to your customers — message us on WhatsApp about dropshipping.
